Terms of Service

These Terms of Service (the Terms) govern your use of StayCrew, including the StayCrew employee application, the Control Center administration console, the Guest Services QR portal, public hotel pages, and related services. By accessing or using StayCrew, you agree to these Terms. If you use StayCrew on behalf of a hotel or hotel group, you accept these Terms for that organization.
1. Acceptance and scope
These Terms apply to all StayCrew surfaces: the employee application, the Control Center, the Guest Services QR portal, public hotel pages, and related services. If you do not agree to these Terms, do not use StayCrew.
2. Authorized users and organizational accounts
StayCrew is intended for authorized hotel and hotel-group personnel.
- Accounts are provisioned by your hotel or group administrators; StayCrew does not offer public self-registration.
- Organizations and administrators are responsible for accurate provisioning of users, roles, and permissions.
- You must keep your credentials confidential and must not share your account.
- Access may be suspended or revoked by your organization or by StayCrew where necessary.
3. Acceptable use
When using StayCrew, you must not:
- access, or attempt to access, data or hotels you are not authorized for, including across tenants;
- share credentials or let others use your account;
- upload malicious code or content, or attempt to disrupt or overload the service;
- perform security testing without prior authorization;
- misuse guest or employee data, or use it for purposes unrelated to hotel operations;
- circumvent permissions, or probe, guess, share, or abuse QR codes or tokens;
- submit unlawful, abusive, deceptive, or infringing content.
4. Hotel and administrator responsibilities
Customer organizations that use StayCrew are responsible for:
- provisioning users and setting roles and permissions accurately;
- collecting and entering employee and guest data lawfully, and providing any notices or obtaining any permissions they are responsible for;
- their internal operational decisions and their handling of operational records;
- fulfilling guest service requests and meeting their own employment and workplace obligations.
- StayCrew provides the platform but does not assume the organization's legal responsibilities.
5. Operational content and workflows
StayCrew supports communication and workflow coordination, but does not independently guarantee completion of hotel tasks, accuracy of user-entered content, availability of hotel personnel, or fulfilment of guest requests. StayCrew is not an emergency service and must not be relied on for emergency response; in an emergency, contact the appropriate local emergency services.
6. Guest Services and QR use
- Guest service QR links are provided by the relevant hotel; guests should use the correct room or hotel code.
- Guest requests are received and handled by hotel personnel, and availability and fulfilment depend on the hotel.
- Opening a QR code does not create a guest account.
- Guests must not probe, guess, share, or misuse QR codes or their tokens.
- Guest Services may display prices for information only; StayCrew does not process payments, and no payment or contractual charge is created through the service.
7. Attachments and user content
You remain responsible for the content you submit to StayCrew.
- You must have the authority to upload it, and must not upload unlawful content or unnecessary sensitive information.
- You grant StayCrew the limited rights needed to host, transmit, secure, and process your content in order to provide the service.
- StayCrew does not claim ownership of your hotel's or your operational content.
8. Notifications and communications
- StayCrew may send operational and security notifications related to your use of the service.
- Delivery of notifications depends on your device, settings, and network, and cannot be guaranteed.
- You control your notification setting in the application; some critical operational communications may still be delivered where appropriate.
9. Third-party services
StayCrew relies on third-party infrastructure and technical providers, such as hosting, database, storage, push-notification, and monitoring services, to operate. Their involvement does not imply their endorsement of you or your content.
10. Service availability and changes
- StayCrew may be temporarily unavailable due to maintenance, updates, or factors beyond our control.
- Features may change, improve, or be discontinued over time.
- Where changes are material, we will communicate them through appropriate channels.
- Unless a separate written agreement provides otherwise, StayCrew is provided without a specific uptime guarantee.
11. Suspension, termination, and account lifecycle
- Your account may be disabled, or your sessions revoked, by your organization or by StayCrew, for example on role change, security response, or legal requirement.
- Account deletion is handled as anonymization of personal data plus disabling of access, as described in the Privacy Policy; operational records may be retained in anonymized form.
- A hotel or group may end its use of StayCrew, which affects access for its users.
12. Intellectual property
StayCrew and its software, interfaces, branding, and original content are protected by intellectual-property rights and remain the property of StayCrew or its licensors. You may not copy, modify, distribute, or create derivative works from them except as permitted. StayCrew does not claim ownership of your hotel's or users' own content.
13. Privacy
Our handling of personal data is described in the StayCrew Privacy Policy, which forms part of your use of the service. Please review it at staycrew.app/privacy.
14. Disclaimers and liability
StayCrew is provided on a reasonable-effort basis and, to the extent permitted by applicable law, without warranties that it will be uninterrupted, error-free, or fit for a particular purpose. Nothing in these Terms excludes or limits liability that cannot lawfully be excluded or limited, and these Terms do not waive any statutory rights you may have. Subject to applicable mandatory law, StayCrew is not responsible for matters outside its reasonable control, including hotel operational decisions, the accuracy of user-entered content, or the availability of hotel personnel.
15. Governing law and disputes
These Terms are governed by the laws of the Kingdom of Saudi Arabia. Disputes are subject to the jurisdiction of the competent courts of the Kingdom of Saudi Arabia, unless a separate written agreement between StayCrew and a customer organization provides otherwise.
